When a case is confidential/sealed, what security is there on the
computer? Who has access to the ROAs? Is the security different for the public computers
from the clerk’s computers? If everyone has access to the ROAs,
should the scanning ID #’s be entered? PM |
Yes, clerks and
public have very different security.
Clerks see sealed (or confidential) cases. Public does not. You either have security to see sealed
cases or you don’t. If you can see
sealed cases, a Sealed flag
appears to warn you that you are dealing with confidential information, but
this warning flag does not limit your access.
If you are not allowed to see confidential cases, then you do not see
any part of that case, including the ROAs. So not everyone has access to ROAs, if those ROAs are on a
sealed case. However, that doesn’t
mean that the imaged document numbers shouldn’t be added to ROAs. Whether
public sees these numbers or not, this is still very important information
for clerks, judges, CSOs, etc. |

On the top
of the ROA screen sometimes it shows the case number, parties in the case and
status (closed/ pending)……other times it does not show anything at the top of
the ROA screen. Why does this
happen? It’s nice to know what case
you are working on without going back to the original screen (1st
screen) We have lots of calls and

Yes, you are
right! This is key information that
you will want to verify. Check these 2
things: 1.
After
an interruption, resize your KICS window to make sure you see
everything. Case number is always in
the top left corner of the ROA window.
Case status is in the top right corner. If you reshaped your window or scrolled
around much while on a phone call, that information could be hidden beyond
your view. One fast way to
get everything back into view is to use the 2. If you are certain you are seeing
everything but you are still missing the case number, caption, and status on
ROA window, check to make sure there is a case caption showing on the main
case screen.

What is the difference between disposed/closed and pending cases in KICS? JR |
Great question! All 3 case statuses are distinctly different:
If a case status is CLOSED that means nothing else is going to happen on the case as far as hearings, money transactions etc. A closed case has judgment, and that judgment has been satisfied.
If a case is DISPOSED there can be pending hearings, money owed, or something else “active.” Even though there may be judgment and a JEJ has been filed, there is still activity. This means the judgment has not been satisfied.
If a case is PENDING that means it is “active” in our system. A pending case has no judgment.

With an update to KICS in March 2003 (Sedgwick Co. only) for the Probation Module a glitch was introduced into some of the documents that print notices for hearings. This problem was reported immediately (by Computer Services) and a fix has been requested. But what do you do in the meantime other than manually type in dates? Here’s one clerk’s clever observation:

At the last update, the Notices no longer carried over the date or time of the hearing that was clicked on. If there are multiple hearings, KICS always places the very first date and hearing set on each case when you print notices from the main KICS screen. However, if you leave open hearing screen and click on the correct hearing, then go to F7 the document loads with the correct hearing with the correct date and time listed. FM |

Why does the hearing screen show created by clerk A and then when resulted by someone else it shows resulted by clerk A same time same date created by clerk A? NJ |
We've asked for
this to be improved but haven't heard yet if our suggestion will be approved
or not. Many people have been confused in the Hearing window by exactly
what you are asking about. As it is right now,

re: the document service window. If you are using this window for the first time, when you get the service by: it allows you to use the arrow keys to select which type. But when you issue the next service (2 of 2) it will not let you use the arrow to select the Service by: type; you have to click with the mouse. Is there a way to fix that to work the same way? SV & AW

This is a very
good catch…this not only affects every clerk who uses Document Services, but
also anyone who uses the Summons window (in CR & TR) as well. We
reported the problem to OJA
In the meantime, there is a way to make it work. Instead of using the up and down arrow, the left and right arrow keys will move you through the list. The right arrow down key moves forward or down the list. The left arrow down key moves back up the list. |

When checking out a file how come the locater is the user name? Don’t we need attorneys in there instead of user? KN |
Excellent question! The system is set up to display every users name and we can’t do anything about it. BUT, the good news is that at the bottom of the list (yes, not alphabetical) is the word “attorney.” If you click it, more magic will happen. Like another drop down list appears where you can pick the exact attorney.

Where do I find Traffic in KICS? |
Criminal button, type in a TR case number. Hit Enter on keyboard.

What if you only have a driver's license number? KM

Go to the Search Menu. Click Party Search. Type the Number into the License field. Click Retrieve.

How many sessions are we going to be able to have open? Are we limited? Is there going to be a way to tell them apart? (Example we had A, B, C.) JJ |
There’s no limit to how many you can have open, but they don't label like before with A, B, C, etc. I actually doubt you will want more than one or two open at a time because they are so easy to get around in.
Open sessions might show up a couple of different ways: 1. If you
don't have many programs open, they may spread apart on your taskbar like
this, where the first one you opened stays on the left:

2. If you
have your taskbar full of open programs, KICS could stack on top of each
other as pictured below.

How do you delete/change a hearing result that was posted in error and/or replace it with the correct hearing result? CM |
No good news: it’s a do over. Currently, results won’t update once saved. You need to add that specific hearing once again; delete the original hearing that has been resulted incorrectly; post the correct result; accept the ROA; go to ROAs to find the incorrect hearing & result and delete; and finally verify that your ROAs reflect the correct information. How can I get KICS to assign the next case number available instead of having to manually input one? KH |
Good question! You should be able to now. We changed that in our security setup. Any clerk can have the computer assign the case numbers automatically or if your job requires you put in your own numbers that can be done as well. You just have to tell somebody in Computer Services which way you want it. Thanks for asking!

Is there a code for miscellaneous ROAs? PT |
Yes, if you put in no code, it leaves the ROA field blank. Then you can type anything you want where the message goes. Please note, though, that you can search ROAs by the code. That means if you find yourself entering one specific kind of miscellaneous notation often, then you should consider asking for a specific ROA code to help. It could save you some typing by entering the standard text automatically, and it could help you search for that ROA in the future.

We went into the ROAs. The CSOs can’t see
all of the information listed there. He wanted to see everything the
guy had pled guilty to, only you can’t read all of it. BM |
Try the Zoom In button at the bottom of the ROA screen. Hit that once (or more). Clerks should know that they can scroll through ROAs, but CSOs, public access, and other staff who don’t have security to update an entry lose the ability to scroll.

I expected the Money Due by Date report to give me all fees accessed even for cases initiated from the Civil module. Notice that the drop down includes case types of CV, DM, and others. However, even with all case types chosen and 14 pages printed, only case types from the Criminal/Juvenile module show up on the report....basically leaving out anything from the CV module...even if there are fees added in as costs.
Does this pull
from Civil fees somewhere other than accessed costs? Am I misled by the
Civil case types showing on the drop down? Is the report working as
intended but I'm just misunderstanding something about the financials? |
You are thinking
down the right track however, civil cases do not have a
money due date field for civil costs, therefore, they will not be
picked up for this report (Money Due by Due Date). What is misleading
in the Money Due by Date report is that the CV case type appears on the drop
down list for selection, so I guess the question is do you want to remove the
CV case type from the drop down list OR have a money due date added for civil
costs and have that added to the report. It's up to you what you want
to do, either option will require programming, I'm sure. In the
meantime, a report for all civil costs and judgments assessed can be printed
from the Civil Costs / Judgments report. Hope this helps.

In mainframe if
any attorney hasn’t paid his fees or if he is suspended it won’t take his bar
#. Is there a way on KICS to keep track
of this? SD |
Yes, the attorney
shows on the case screen with a red bar around his/her name. However, the red bar only acts as a
reminder; it doesn’t stop you from processing the case. If you want to check the attorney status,
it takes an additional manual step.
Try this: while doing a Civil Filing, after you’ve filled in the
defendant and plaintiff info, but before you’ve issued a receipt hit the CASE
button at the bottom of the window.
You will answer NO if you want to continue filing. (Don’t worry you can go back). You will be able to see at a glance if the
attorney is in red or not. Then close
that window and go back to the Civil Filing window. |
